Self-Service Video Conferencing

Video conferencing enables two sites to collaborate and have a virtual meeting face-to-face with participants at a distance. Cameras and microphones are used at both sites to send the pictures and sound of participants to each other in real time. The result is a meeting that can occur anywhere in the world.

We use special equipment that utilizes proven standards-based (H.323) technology from a Polycom system connecting via the Internet (IP). Depending on remote capabilities, you can also send and receive native-resolution computer or other visuals simultaneously.

Academic Technology Services Self-Service Video Conference Facility

IT Academic Technology Services offers self-service videoconferencing in Willard Hall that is available to the campus community. Some examples of possible uses are full credit courses with off campus students or instructors, meetings, thesis defenses, guest speakers and job interviews. The system is easily operated through a simple push-button control panel and remote control. IT staff will provide personal instruction in the use of the facility and are available for phone tech support. UD Capture recording of the conference is available upon request.

Willard Hall 324 is a lecture and video conference facility equipped with 24 seats. This room features:

  • Polycom VSX-8000 codec
  • Power and Ethernet connections for student laptops
  • Motorized height-adjustable lectern with laptop connections
  • Installed Windows PC
  • Instructor laptop connection
  • Overhead document camera
  • XGA (1024 x 768) LCD projector for participant view of remote site
  • Two remote controlled cameras
  • Overhead microphone for student discussions
  • DVD/CD playback capabilities
  • UD Capture recording of the conference available
  • WiFi enabled

Remote site system requirements

When contacting the remote site or remote party, these are the system requirements that must be met.

  • Video conferencing system that supports H.323 (IP) from vendors such as Polycom, Tandberg, Sony, etc.
  • At least 512 kilobits/sec bandwidth
  • At least one camera with pan, tilt and zoom (PTZ)
  • At least one microphone with the ability to mute
  • Speakers with adjustable volume
  • A technician or trained person on the remote site

We will be happy to coordinate system details with the technical contact at the remote site.

Some questions to think about before making a request.

Some things we'd like you to think about before making a request for a video conference.

  • How many participants will you have in the Newark site?
  • What presentation technologies will you need? (PowerPoint, document camera, etc)
  • Will you be showing any DVD videos or playing CD audio?
  • Do you want the event recorded with UD Capture?
  • Who will be the "moderator" of large discussions?
  • Where will the dominant speaker be located (Newark or remote site)?
  • Are there potential language barriers that will require translators to conduct a test?
  • Is there a time zone difference between the sites?

Costs

Video conferences are a viable alternative to travel for participants. With the ability to reach anyone in the world with connectivity, we're able to connect you with virtually anyone and save you on the cost of travel expenses.

At the University of Delaware, there are no facility or staff fees associated with a video conference for academic purposes.

For grant-supported or non-academic video conferences, the self-serve rates are $60 internally (UD community) or $150 externally.

When video conferencing with other parts of the world, remember the time difference in your requests. Academic Technology Services normal operating hours are Monday through Friday 8:00am - 5:00pm. Tests or meetings outside these times that require a staff member are handled on an individual basis depending on staff availability and may incur additional overtime charges.
