Proctoring through Zoom All Screen Mode

All screens mode allows the host to request all participants share their screen to present the host with a scrollable side-by-side view of the participants and their shared desktop(s). This feature is designed to provide a more streamlined and straightforward proctoring experience, focused on seeing both the participant video and their desktop share. 

How to use all screen mode in a meeting

  1. Start a meeting as the host.
    In the meeting control toolbar next to the green Share Screen icon, click the small up arrow
  2. Click Start All Screens Mode.

  3. If using this feature for proctoring, DO NOT click the Allow participants to view shares checkbox to give participants the same view as the host.
  4. Click Start to continue.
    All participants will be prompted that the host wants to view their desktop, with the options to Start Sharing or Not Now to decline.

    As participants begin sharing their screens, each of their videos and shared desktops will appear side-by-side, with non-sharing participants appearing at the top of the window.

  5. To cancel All Screens Mode, click the All Screens indicator in the top-left corner of the meeting window, and then click Stop All Screens Mode.
    Each participant can at any point stop sharing from their device. 

Frequently Asked Questions

  1. Can my TA use the proctoring tool?
    • Co-hosts will be able to see the All Screen shares, but cannot start the sharing tool.  Only the host can start the tool.
    • The first alternative host to join a meeting will automatically become the host and can start the tool. Be sure to make your TA an alternative host in the meeting settings.  This will allow the TA to control the All Screen Mode.
  2. What will the students see?
    • The students will not see the screens of other students unless the host checks the box to allow participants to view shares.
    • The students will see a green box around their screen indicating that they are sharing the image.
  3. Why do I only see 3 students at a time?
    • There isn’t enough room on the desktop to see more than 3 students with their screens at the same time.
    • To view additional students, use the arrows to the left and right to view the other participants.
  4. What does the host see if a participant is using dual screens?
    • The host will see screen 1 with an arrow to switch to screen 2.
  5. Does the tool work in breakout rooms?
    • No, not at this time.

Best Practices

  • Run a practice quiz using the All Screen feature with your students prior to the first quiz/exam.  This will alleviate some of the anxiety your students might feel when using the technology for the first time.
  • Suggest your students arrive to class a few minutes early to each exam to be sure their machines are set up properly with Canvas and Zoom.
